POSITION SUMMARY: Responsible for coordinating, planning and documenting employee and client schedules.

 ESSENTIAL DUTIES AND RESPONSIBILITIES

§         Establish client and employee schedules, and fill all requests according to priority and client’s needs.

§         Maintain accurate schedules, missed visit reports, and in-service notes in computer in a timely manner.

§         Reschedule client and employee schedules according to illnesses, emergencies, etc.

§         Inform all parties (i.e. employee, client, client representative) of any changes in scheduling.

§         Input all essential client and employee schedule information in the system in an accurate and timely manner.

§         Communicate all problems and concerns of client services and employee performance to Scheduling Manager.

§         Report to Scheduling Manager or Scheduling Team Leader, Nursing Manager/ Supervisor, cases that have delayed start and reason for delay (i.e. staffing difficulty, or client request)

§         Able to fill cases in a timely manner and prioritize caseload.

§         Complete corrections in a timely manner.

§         Maintain optimal customer service at all times.

§         Rotate weekend and on-call backup during non-office hours to coordinate services.

§         Rotates weekends and holidays as necessary to meet the needs of the Agency.

§         Maintains schedules to minimize O.T. and maintain HHA productivity.

§         Demonstrates proficient computer skills.

§         Ability to take intakes for the department.

 

HHA SCHEDULING ON-CALL DUTIES AND RESPONSIBILITIES

§         Responsible for coordinating, planning, and documenting HHA and client schedules during non –office hours.

§         Communicates with HHA Scheduling Department prior to shift for status of unresolved client or HHA issues.

§         Documents all communications in the on-call log.

§         Performs all other essential duties and responsibilities of a HHA Scheduler.

         

QUALIFICATIONS

Experience, Education and Licensure

Must have high-level organizational skills and customer service, the ability to deal with multiple members of the home health team.  Requires good interpersonal skills and ability to perform multi-task assignments. High school diploma or GED and experience with home health care.  Computer experience necessary. Must be familiar with MS Word, Outlook and Excel. Unless otherwise agreed upon by employer, employee must have a valid drivers license. Furthermore, employee shall have use of a vehicle during working times and insurance as a driver of that automobile.

 

Language Skills

Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
